Birds Eye wanted to set up a central HR shared service centre to complement the implementation of SAP’s HR module and better support their colleagues from the UK and IE manufacturing sites. Paper filing systems meant that they were struggling to access and manage the thousands of employment records stored in filing cabinets across the different locations. In addition, the manual system meant managing compliance was also a concern. They knew they needed to digitally capture and standardise the information, but the task was overwhelming on top of an already busy day job.

We took on the entire project , which began by physically collecting all the relevant paper documents from across their locations, and gathering them together for processing. Close to one million pages were converted to PDF and uploaded to HR:Safe, our secure online hub. Using a combination of technology and careful supervision, every document was assigned a category which helped draw together the different historic filing systems into a common format. This enabled easy retrieval and simplified compliance reporting.

With the backlog of legacy documents now dealt with, the HR team have a clear 360° view of all employee records, as well as a secure, central place to upload new documents as they are processed. Everything is accessible via a central online hub, with controlled permissions for users across UK & IE. Employee records are fully compliant and can be found easily at the click of a button without impacting the ERP. This saves a huge amount of time for the HR team and puts them firmly in control.
