Their challenge:
As a large group managing so many sub-brands, Connells HR team had a need to centralise and manage the enormous number of employee documents stored in multiple formats and legacy software across their multiple locations. They urgently needed to set up a shared, fully compliant system, but their primary concern was how to gather 2.4 million documents into one central place in a common format and trust that the captured information would be complete and accurate.

How we helped:
We set up HR Safe as a shared online hub and began the process of gathering all the documents together, converting them to PDF and categorising them using technology and careful supervision. The sheer volume of information meant it was important to provide detailed reports on what we’d processed, so everything could be traced and cross-referenced. HR Safe quickly became the ‘single source of truth’ for all Connells personnel records, and our regular progress reports provided constant reassurance to the HR team that the information within HR Safe was highly reliable.
And now…?
An internal audit done by Connells on the project reported that the accuracy of the information transferred was 99%. With all legacy records now organised within HR Safe, we continue to use the hub to process and manage new HR documents generated by Connells Group around the UK. Daily filing is seamlessly uploaded and role-based user access ensures employee information is available in the right place at the right time. A once disjointed approach is now streamlined and centralised, giving the HR team much more control.
