Smiths’ HR team were already successfully using a number of specialists solutions to manage their employee lifecycle, but they had a big problem these platforms couldn’t solve. Overwhelmed by the huge number of HR documents they had to manage (paper and electronic documents stored across their many depots), they constantly battled to find information quickly and were worried about compliance. They wanted to keep their existing software but didn’t have a way to bring all of this data together.

We took on the whole project to physically collect and digitally capture all their existing records from head office and multiple UK depots. These were then carefully categorised within HRSafe for speedy, easy access via an online hub. Access permissions were set to cover compliance. Next, we worked with their other solutions providers to connect their existing systems with the new hub, so that documents, regardless of their origin, flowed in to HRSafe seamlessly. The information and compliance gap was plugged, and everything could now work well together.

With the hub up and running and interconnecting with their other software, we continue to capture and manage the many new HR documents that Smiths have to process on a daily basis. Now instead relying on manual and paper processes, the whole system is streamlined, interlinked and fully compliant. Employee records are 100% digital and can be found easily at the click of a button, saving a huge amount of time for the HR team.
